Hamilton Fund Solutions, a division of Hamilton PR (Pty) Ltd, collects the personal data you give us through our contact and enquiry forms, plus limited usage data from visits to this website. We use it to respond to enquiries, administer our fund services and corporate finance relationships, and improve this site. We do not sell your personal data. You can ask us what we hold, correct it, or have it deleted at any time by writing to hello@hamiltonpr.net.

This website is operated by Hamilton PR (Pty) Ltd, trading as Hamilton Fund Solutions, Hamilton Corporate Finance, Sports Business Group, and HAMTRUST. Our registered address is Tyger Valley, Cape Town, South Africa, 7536. 2. The law that applies to this policy
This policy is written to meet the standard of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, and the EU General Data Protection Regulation (EU GDPR) for visitors and clients in the European Union. We apply this same standard globally, to every visitor to this website, regardless of location. Where South Africa's Protection of Personal Information Act (POPIA) applies to our processing, for example because you are dealing with our Cape Town office, we also comply with POPIA's requirements, which are broadly consistent with the rights set out below. Where the CCPA/CPRA gives California residents additional rights, section 9 covers those separately.
3. What we collect
- Identifiers: name, email address, phone number, and company or fund name, when you submit a form or email us directly.
- Enquiry content: whatever details you choose to include in a contact or enquiry message.
- Usage and analytics data: pages visited, browser and device type, and approximate location derived from IP address, collected via standard website analytics tools. See our Cookie Policy for the specific tools and cookies used.
- Correspondence: records of emails and calls between you and Hamilton Fund Solutions relating to an enquiry or an existing client relationship.
We do not knowingly collect payment card data, government identification numbers, or sensitive personal information (health, biometric, or precise geolocation data) through this website.
4. Where this data comes from
We collect data directly from you, either through the forms and email addresses on this site or through your existing relationship with Hamilton Fund Solutions, Hamilton Corporate Finance, or an affiliated trading division. We do not purchase or receive personal data about you from third-party data brokers.
5. Why we use it
- To respond to your enquiry - contract necessity / legitimate interest in answering a request you initiated.
- To administer an existing fund administration, valuation, accounting, or corporate finance engagement - contract necessity.
- To meet regulatory, tax, and record-keeping obligations - legal obligation.
- To operate and improve this website - legitimate interest in understanding how the site is used.
- To send you information about our services, where you have agreed to receive it - consent, which you may withdraw at any time.
6. Who we share it with
We share personal data only with the following categories of recipient, and only as needed:
- Our website hosting provider, to keep this site running.
- Analytics service providers, to understand site usage in aggregate.
- Professional advisers, auditors, and regulators, where required to deliver fund administration and corporate finance services or to meet a legal obligation.
- IT and email service providers who support our internal systems, under confidentiality obligations.
We do not sell personal data, and we do not share it with third parties for their own independent marketing purposes.
7. International transfers
Hamilton Fund Solutions operates from South Africa and the United Kingdom. Where personal data collected in one jurisdiction is accessed from the other, or transferred to a service provider located outside that jurisdiction, we rely on contractual safeguards with those providers, including standard contractual clauses where applicable, to ensure your data continues to receive an appropriate level of protection.
8. How long we keep it
Enquiry and contact form data is retained for as long as needed to respond to and follow up on your enquiry, and is deleted or anonymised after 24 months of inactivity. Data connected to an active fund administration, valuation, accounting, or corporate finance engagement is retained for the life of that engagement plus any period required by applicable financial services record-keeping and tax law, typically 5 to 7 years. Website analytics data is retained in aggregate or anonymised form beyond the periods set by the analytics provider used, as described in our Cookie Policy.
9. Your rights
Subject to the law of your jurisdiction, you may have the right to:
- Know what personal data we hold about you and request a copy of it (access / right to know).
- Correct inaccurate or incomplete personal data.
- Request deletion of your personal data, subject to our legal and regulatory retention obligations.
- Receive your data in a portable format.
- Object to or restrict certain processing.
- Withdraw consent at any time, where processing is based on consent.
- Not be discriminated against for exercising any of these rights.
- Lodge a complaint with a data protection supervisory authority. In the UK, that is the Information Commissioner's Office (ICO), the lead regulator for this policy. If you are in the European Union, you may also lodge a complaint with your own national supervisory authority.
- If you are a California resident, opt out of the sale or sharing of personal information. We do not currently sell or share personal information as defined under the CCPA/CPRA, so no opt-out action is required, but you may still submit a request and we will confirm this in writing.
10. How to exercise your rights
Send your request to hello@hamiltonpr.net. We will respond within one month for requests under GDPR and within 45 days for requests under the CCPA/CPRA, and will let you know if we need more time or more information to verify your identity first.
11. Children
This website is directed at businesses and professional counterparties and is not intended for use by children under 13. If we become aware that we have collected personal data from a child under 13 without appropriate consent, we will delete it promptly.
12. Security
We maintain reasonable technical and organisational measures to protect personal data against unauthorised access, loss, or misuse, including access controls and secure storage of client and enquiry records. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
13. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Material changes affecting your rights will be communicated by updating this page, and by email where we have an ongoing relationship with you.
